Privacy policy

This policy explains how EmberSeed collects, uses and protects personal information. EmberSeed is a trading name of Wilderness Properties Pty Ltd (ACN 614 946 897), run by me, Andrew Gardner, from Mylor in South Australia. Where this policy says "I", "me" or "EmberSeed", it means the same business.

The short version

  • I collect only what I need to reply to you and do the work you ask for.
  • I don't sell or rent your information, and I don't use it to train AI.
  • Client data stays in your own accounts. I don't keep copies on my devices.
  • You can ask to see, correct or delete your information at any time.

The rules I follow

Many small businesses aren't legally required to follow the Australian Privacy Principles. I choose to follow them anyway, because you should be able to trust me with your information.

What I collect

  • When you contact me or book a call: your name, business name, email address, phone number, and anything you tell me about your business.
  • When you become a client: billing details (business name, address and ABN), records of our work together, and notes from our sessions.
  • When you visit this website: basic usage information, such as the pages you visit and the type of device you use, collected through Squarespace's built-in analytics cookies. I don't use Google Analytics or advertising trackers.

I don't ask for sensitive information, such as health information, about you. If our work involves systems that hold sensitive information, we'll agree in writing how it's handled before I start.

How I use it

  • To reply to you and arrange calls.
  • To deliver, invoice and support the work you've asked for.
  • To keep the records the law requires, such as tax records.
  • To send you occasional updates, but only if you've said yes. Every email has an unsubscribe link.

When I work inside your systems

Building AI for a client usually means working in their Microsoft 365, Google Workspace, Xero, MYOB or other systems. When I do:

  • I act only on your instructions and follow your own policies.
  • Your data stays in your accounts. I don't copy it to my own devices or accounts.
  • I access only what the job needs, using access you give me and can take away at any time.
  • I don't use your data to train AI, and I switch off training settings wherever your tools allow it.
  • When the job ends, I remove my access, or ask you to.

Who I share it with

I don't sell, rent or trade personal information. I share it only with service providers that help me run the business:

  • Squarespace, for this website and its enquiry form
  • Google Workspace, for email, calendar and files
  • Apple Calendar, for scheduling calls
  • Claude, by Anthropic, for preparing invoices
  • The AI tools listed on my How I use AI page

I may also share information if the law requires it, or in confidence with my accountant or lawyer when I need professional advice.

Storage outside Australia

Some of those providers store data outside Australia, mainly in the United States. I choose providers with strong security and privacy practices, but privacy laws overseas may not protect your information in the same way Australian law does.

AI and automated decisions

I don't use computer programs to make decisions about you. I do use AI tools to help me draft, summarise and research, in accounts with model training switched off, and I check everything they produce. There's more detail on my How I use AI page.

Keeping it safe

Every account that holds enquiry or client information uses multi-factor authentication. My devices are encrypted and kept up to date, and access is limited to the people who need it, which is usually just me.

If a data breach is likely to cause you serious harm, I'll tell you as soon as I can, and I'll tell the Office of the Australian Information Commissioner where that's required.

How long I keep it

  • Enquiries: up to two years, then deleted, unless you become a client.
  • Client and billing records: five years after our work ends, as tax law requires, or longer if there's a legal reason to.

After that, I delete it securely.

Seeing, correcting or deleting your information

Just email me and ask. I'll reply within 30 days, there's no charge, and if there's a legal reason I can't do what you ask, I'll explain why.

Questions or complaints

Please contact me first, at info.emberseed@gmail.com or on 0438 330 100. I'll respond within 30 days.

If you're not happy with my response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

Changes to this policy

If I change this policy, I'll update the date at the top of this page. If a change is significant, I'll say so on the home page too.
